1. What is Spend Analytics?
Spend Analytics is the module within ISPnext that provides insight into all of the organisation's expenditure. Through overviews, charts and analyses, you can see at a glance what is being purchased, from which suppliers, in which categories and via which cost centres. This makes it possible to make well-founded purchasing decisions and identify savings.
The module includes, among other things:
- Insight into expenditure by supplier, category, cost type and organisational dimension
- ABC analysis (Pareto) for prioritising purchasing attention
- KPIs for monitoring purchasing performance
- Budget comparison and compliance analysis
- Geographical overview of expenditure
- Benchmarking via the Spend Community
2. Preparation: configuration via the Admin module
Before Spend Analytics can be used effectively, a number of settings must be configured in the Admin module. Configuration takes place via the steps below. Details of each step can be found in the Help Centre in the Analytics > General section.
| Step | What |
|---|---|
| Step 1 | Upload spend data via an import file. |
| Step 2 | Create categories that reflect the organisation's purchasing structure. |
| Step 3 | Choose and activate the category linking type: supplier-category linking or cost type-category linking. |
| Step 4 | Link suppliers to categories (for supplier-category linking) or Link cost types to categories (for cost type-category linking). |
Configuring Spend Analytics is an administrative task. The steps are only available to users with the appropriate permissions in the Admin module. Involve an implementation consultant during the initial configuration.
3. Logging in and opening the module
Log in via the standard ISPnext login screen. After logging in, Spend Analytics can be found at the top of the page. All sections of the module can be accessed via the left-hand menu.
The period filter at the top of the screen determines the year and months for which the data is displayed. All overviews and charts are updated immediately after the period is changed.
