1. Purpose of this article
This article describes how supplier data is viewed, filtered and exported to Excel in Spend Analytics, and how the ABC analysis works, including the associated tables and charts.
2. Supplier overview
2.1 Navigation
Go to:
Spend Analytics > Suppliers
The overview displays all suppliers based on the configured period. The period filter at the top of the screen determines which year and months the data is displayed for.
2.2 Searching and filtering
Use the search field above the table to search within the selected columns. This makes it easy to quickly find a specific supplier or value without browsing through the entire overview.
2.3 Configuring columns
Click the Columns button next to the Excel button at the top right of the table to determine which columns are visible in the overview. The column selection directly affects what is included in an export.
Configure the desired columns before exporting, so that the export contains exactly the information required.
3. Exporting data to Excel
Click the Excel button at the top right of the table to export the overview. All columns selected at that time are included in the export file.
Columns that are not selected are not included in the export. Check the column selection beforehand using the Columns button.
4. ABC analysis
Go to:
Spend Analytics > ABC
The ABC analysis - also known as the Pareto analysis - provides an overview of suppliers divided into three categories based on spend volume. The analysis is performed automatically when importing the spend data and is displayed by year.
4.1 Explanation of the categories
ISPnext uses an 80/10/10 distribution by default:
| Class | Meaning |
|---|---|
| A | Suppliers that together represent 80% of the annual purchasing value, sorted by volume. Smallest group of suppliers, greatest impact on spend. These are the suppliers that deserve the most procurement attention. |
| B | Suppliers that together represent the next 10% of the annual purchasing value. |
| C | Suppliers that together represent the remaining 10% of the annual purchasing value. Largest group of suppliers, smallest share of spend. |
The standard 80/10/10 distribution can be adjusted. Go to Admin > Spend settings > Settings to enter a different distribution, for example 70/20/10.
5. Elements in the ABC overview
The ABC overview consists of four elements: two tables and two charts.
5.1 Table: ABC Analysis by year and category
Displays the following data for each year and ABC category:
- The number of suppliers in the category and the percentage relative to all suppliers
- The number of invoices and the percentage relative to all invoices
- The spend volume and the share of that volume in the total volume
5.2 Chart: ABC Analysis (bar chart)
Displays three data points for the year selected in the period selector, split into A, B and C categories:
- The spend volume per category
- The number of suppliers per category
- The number of invoices per category
Hover over the coloured areas in the chart to see the exact figures.
5.3 Table: Distribution of controllable/non-controllable spend
Displays the controllable, partially controllable and non-controllable spend per year, along with the total volume. Whether spend is controllable is determined via Admin > Tables > Categories. Spend without a category is displayed separately - the level of controllability cannot be determined for this spend.
5.4 Chart: ABC Trend (line chart)
Displays the number of suppliers per ABC category for the current year and the four preceding years as a trend line. Hover over a point in the chart to see the exact number. These figures can also be found in the table under 5.1.
5.5 Chart: ABC controllable vs. non-controllable (bar chart)
Displays the distribution between controllable, partially controllable and non-controllable spend for the current year and the five preceding years. Hover over the bars to view the exact volume.
6. Summary
- Suppliers can be viewed via Spend Analytics > Suppliers.
- Columns can be configured using the Columns button; exporting is done using the Excel button.
- Only selected columns are included in the export.
- The ABC analysis can be found via Spend Analytics > ABC and categorises suppliers based on spend volume (80/10/10 by default).
- The 80/10/10 distribution can be adjusted via Admin > Spend settings > Settings.
- The overview contains two tables (analysis by year, controllability) and three charts (analysis bar chart, trend line, controllable vs. non-controllable).
