Extensive improvements to recurring tasks
The task overview, creation functionality and forms for recurring tasks have been extensively improved. Tasks are now easier to create, better filtered and more aligned with the working methods of contract managers.

Organisations can now set per customer whether a contract number is mandatory when processing purchase requests and invoices, including the choice between a warning or a full block.

General
New
Custom field width in Procurement Value Management
Administrators can now set the width of each custom field in the Procurement Value Management module as displayed in the input form. The field width is configurable and the setting also determines where the field is shown in the form.
This adjustment makes forms clearer and better tailored to the amount of information expected per field, simplifying data entry for users.
Procurement Value Management - improved display of event details
The header of an event within Procurement Value Management has been restructured. Redundant duplicate fields have been removed and custom field values are now visible in the detail header.
This adjustment provides a clearer and more consistent display of event information, enabling users to find relevant details more quickly.
Budget management - authorisation on budget data
Users with access to the Budget Management module will now only see budget data for which they have authorisation rights. The authorisation rules previously set in the Analytics module are now applied to the budget overview and budget details.
This adjustment ensures better information security and a clearer separation of responsibilities within organisations with multiple departments or cost centres.

New
Improvements to recurring tasks
Recurring tasks are increasingly used within Contract and Vendor Management. Several improvements have been implemented in this release simultaneously:
- Creating and editing recurring tasks has been simplified: the form now has a clearer header and the date field "Execution date" includes an explanation.
- Overviews of recurring and regular tasks now include additional columns that are hidden by default and can be enabled via the column choice button. Examples include contract reference number, contract owner and the latest comment on a task.
- Task templates can now be selectively updated: when clicking "Update related tasks" the administrator can choose which fields (name, description, notification periods, assigned to) are overwritten.
- An extra free text field "Comment" can be added to each recurring and individual task, allowing contract-specific or supplier-specific information to be recorded separately from the template.
This adjustment makes the task overview more searchable, task creation clearer and task template management more flexible.
Adobe Sign - flexible placement of signature fields
When sending a document for signature via Adobe Sign, the document now opens in the Adobe Sign editor so the user can determine the position of the signature field and any other fields before the document is sent to the signer.
This adjustment gives users full control over the layout of the document to be signed and prevents signature fields from being placed at a fixed, potentially unsuitable position.

nextAI - Contract AI - Terms & Conditions - analysis per document type and legal entity
The analysis of general terms and conditions via nextAI has been expanded with the ability to link terms to a document type (such as NDA or DPA) and to an internal legal entity. Administrators can consult and manage a new "Document type" tab in the settings.
This adjustment makes contract analysis more accurate and better applicable for organisations with multiple legal entities or different types of agreements.
nextAI - Contracts AI - improved processing of scanned PDFs
When processing scanned PDFs via nextAI, it is now possible after an initial processing to improve the quality of the analysis via an additional processing step. The user is informed in advance via a pop-up about what this action entails.
This adjustment provides a practical solution for situations where the initial recognition of a scanned contract yields insufficient results, without the document having to be re-entered manually.

Business validation on contract number for purchase requests and invoices
The platform now supports configurable validation on the presence of a contract number when submitting purchase requests and invoices. Per organisation, it can be set whether the absence of a valid contract number results in a warning (where processing remains possible) or a full block.
This adjustment reduces the number of incorrectly submitted documents and better aligns with the internal processes of organisations that work with mandatory contract references.
Bulk processing of supplier updates to Vendor Management
The synchronization of supplier data from the Procure to Pay modules to the Source to Contract module Vendor Management now occurs via bulk updates instead of individual requests per supplier. This significantly reduces the load on the system with large supplier files.
This adjustment ensures more stable and faster synchronization of supplier data without overloading Vendor Management.
AP Automation
New
Default quantity for additional coding rules
When automatically creating additional cost lines (for example for freight costs) via supplier settings or automatic coding rules, the quantity is now set to 0 instead of 1, and no unit is provided. This prevents rejections by external systems such as SAP, where a quantity without a unit is invalid.
This adjustment reduces manual corrections on invoices for customers with an SAP integration and ensures smoother processing of invoices with additional cost lines.
Faster display of invoice PDFs
Invoice PDFs are now loaded more efficiently because files are no longer sent as encoded data but as direct secure file transfer. This reduces load time and memory usage, especially for larger PDF files.
This adjustment provides noticeably faster display of invoices in the processing interface, improving productivity for users who process large numbers of invoices daily.
Renewed invoice detail screen - display of invoice components for split invoices
For invoices approved as split invoices, the individual invoice components are now correctly displayed in the renewed invoice detail view. Previously, these components were not shown at all.
This adjustment gives users full insight into the composition of a split invoice during the approval process.

Preventing duplicate booking lines for XML invoices and nextAI
When processing XML invoices or invoices via nextAI where additional cost lines were created both via invoice content and supplier settings, duplicate booking lines could occur. The system now recognises this situation and prevents the same costs from being booked multiple times.
This adjustment improves the accuracy of invoice processing and reduces the chance of accounting discrepancies for invoices with multiple cost sources.

New
User-specific SAP OCI authentication
The SAP OCI integration now supports user-specific authentication. Dynamic data such as email address or job title can be passed per user in OCI roundtrip requests to SAP. This replaces the previously used shared login credentials.
This adjustment improves traceability of user actions within the SAP OCI integration and allows access to be differentiated at user level, enhancing the security and manageability of the integration.
Negative amounts in overviews and accrual reporting
Purchase requests and purchase orders with negative line combinations are now correctly displayed in the "Amount yet to be invoiced" column in overview screens and accrual reporting. Previously, this amount was always shown as a positive number.
This adjustment ensures a complete and reliable financial picture in overviews and reports, even when correction or negative lines are present.
Linking catalogues to items
In the item management module, it is now possible to link a catalogue to an item. This is an optional field that connects to the previously rolled-out catalogue functionality.
This adjustment makes it easier to classify items and relate them to the correct purchasing source, making item file management clearer.
nextAI Quote Capture - managing personal AI instructions
Users who use nextAI Quote Capture for creating purchase requests can now manage personal AI instructions via a clear interface in the platform. This allows specifying how the AI should interpret quotes, how optional items are handled, and which fields take priority.
This adjustment makes AI behaviour transparent and controllable for the user, resulting in more accurate and better-tailored purchase requests.
