This guide describes how to manage an existing Planboard (settings, authorisation, tracks and tasks) and which actions can be performed on a task.
1. Purpose of this guide
After a Planboard has been created, its layout and settings can be adjusted at any time. In addition, tasks on the Planboard can be edited, provided with a comment, have their status changed and be completed.
2. Managing a Planboard
2.1 Changing general settings
The general settings entered when creating the Planboard (such as the name and purpose) can be changed via the '...' icon directly below the name of the open Planboard.
2.2 Managing authorisation
A Planboard is only visible to users who are members of the Planboard. Authorisation is managed via the circle with initials in the top right of the open Planboard. In the pop-up window that opens, users can be linked to the Planboard.
2.3 Managing tracks
Tracks on a Planboard can be changed at any time via 'Tracks' in the top right of the Planboard.
- Tracks can be dragged into a different order, after which this order is also shown on the Planboard.
- By clicking on an existing track, it can be edited or deleted.
- New tracks can be added via the 'Add' button at the bottom of the pop-up window.
2.4 Adding tasks
A new task is added via 'Add tasks' in the top right of the Planboard. The table below explains the task settings.
| Term | Explanation |
|---|---|
| Task | The name of the task. The task is identified by this on the Planboard. |
| Description | A description of the task. |
| Assigned to | The person who must carry out the task. |
| Due date | The date by which the task must be completed. |
The task tile displays the due date and the initials of the person assigned to the task.
2.5 Viewing the backlog
All completed actions can be found in the Planboard backlog, such as creating, assigning and completing tasks. The backlog is opened via 'Backlog' in the top right of the Planboard.
3. Handling tasks
Once a task is on the Planboard, the actions below can be performed on the task.
3.1 Adding information to a task
A task can be edited via 'View'. Basic settings such as the name, description, supplier and contract can be changed there. The task can also be moved to another Planboard, its status (track) can be adjusted, and the person assigned to it and the due date can be changed.
When a person is assigned to a task, an email notification is automatically sent to that person.
The task's edit history can be found under the 'Backlog' tab. Attachments can be uploaded to the task under the 'Files' tab.
3.2 Adding a comment
A comment can be added to a task, for example to respond to the task or to record notes. This is done via 'View' for the task, under the 'Comments' tab.
3.3 Changing the track/status of a task
The status of a task can be changed in two ways:
- Via 'View' on a task tile, after which the status is adjusted on the left in the pop-up window.
- By dragging the task to another track in the Planboard overview.
3.4 Completing a task
A task is completed as soon as it is in the last (furthest right) track of the Planboard. This is achieved by dragging the task to this track, or by manually opening the task via 'View' and then clicking the 'Complete' button.
Completed tasks are recognisable by the green border around the tile.
