This guide describes how to set up a Planboard template in the Admin module and how to subsequently create a Planboard in the Tasks module.
1. Purpose of this guide
Before creating a Planboard, a template can optionally be set up with commonly used tracks and tasks. When creating a new Planboard, this template can then be selected, after which the settings are automatically adopted. This is particularly useful for recurring processes within a department.
Setting up a template in the Admin module is optional. If you need a Planboard without a template immediately, chapter 2 can be skipped and you can proceed directly to chapter 3.
2. Setting up a Planboard template (optional)
2.1 Navigation
Templates for Planboards are set up in the Admin module via:
Admin > General settings > Task default settings
2.2 Adding a template
- Navigate to Admin > General settings > Task default settings.
- Click 'Add'.
- Enter a name for the Planboard template and click 'Add'.
- The new template is displayed on the page. Clicking the template allows it to be configured further.
2.3 Setting up tracks
A Planboard is divided into tracks: sections in which tasks are placed to indicate the status of a task, such as "To do", "In progress", "Review" and "Done".
- In the template pop-up, click 'Add' under 'Tracks'.
- Enter a name for the track, together with the desired order relative to the other tracks. This order determines the default display of the tracks on the Planboard.
- Click 'Add' to add the track to the template.
An added track can be removed using the red cross. It is advisable to determine in advance the type of project or process for which the template will be used and which phases the tasks will go through.
2.4 Adding tasks to a template
In addition to tracks, tasks can also be added to a template. These tasks are placed on the Planboard by default when the template is used.
- Under 'Tasks', click 'Add' to add a task.
- Enter a name for the task, together with a memo containing the description of the task.
- Click 'Add' to add the task. Repeat this for each required task.
Tasks can be edited or removed afterwards using the icons next to the task name.
3. Creating a Planboard
3.1 Navigation
A Planboard is created via the VendorLink main menu bar, under:
Tasks > Planboard
3.2 Steps
- Navigate to 'Tasks' in the VendorLink main menu bar.
- Go to the 'Planboard' tab.
- Click the 'Create Planboard' button.
- Enter the desired settings in the pop-up. The fields are explained in the table below.
- Click 'Add' to create the Planboard. The Planboard opens automatically and is also visible in the Planboard overview from that moment onwards.
| Term | Explanation |
|---|---|
| Name | The name of the Planboard. The Planboard is recognised by this name in the environment. |
| Purpose of the actions on the Planboard | Optional field for the ultimate purpose of the tasks on the Planboard. |
| Base on predefined list | Optional: a Planboard template can be selected here. Tracks and tasks from the template are then automatically added to the new Planboard. |
| Supplier | Optional: the supplier to which the Planboard relates. |
3.3 Recognising the status of a Planboard
The Planboard overview shows the number of tasks per track for each board, together with a coloured icon next to the name of the Planboard. This icon indicates the status of the Planboard:
No tasks added
---
Not all tasks have been completed
---
All tasks have been completed
