nextAI offers a number of specific Capabilities within the ISPnext platform. These Capabilities support users in automatically processing documents and analysing information, reducing manual effort and increasing the consistency of data processing.

nextAI - Invoice Header Capture
nextAI - Invoice Header Capture automatically recognises the header data of incoming PDF invoices, without the use of fixed templates. Data such as supplier, invoice number, invoice date and amounts are recognised and presented for verification in AP Automation. This Capability replaces SmartScan and requires no template configuration. A feedback button allows custom prompts to be used for supplier-specific adjustments.
This Capability is exclusively intended for recognising header data on incoming PDF invoices within AP Automation. Invoice lines, quotes, contracts and other document types fall outside the scope of this Capability.
The output of nextAI is supportive in nature. Always verify the recognised header data before processing the invoice further, especially for new suppliers or unusual invoice layouts. NextAI only supports text-based PDF invoices; Word, Excel and fully scanned (image-based) PDF attachments are not processed or are processed with reduced accuracy. Binding financial decisions such as payment must not be based solely on AI output.

nextAI - Invoice Line Capture
nextAI - Invoice Line Capture automatically processes the individual lines of an invoice within AP Automation. In addition to header data, nextAI also recognises line descriptions, article numbers, quantities, prices, VAT percentages and any additional costs. The recognised lines are converted into structured data and linked to the appropriate fields, supporting automatic matching and processing.
This Capability is exclusively intended for line recognition on incoming PDF invoices within AP Automation. Invoice header recognition, contract processing and quotes fall outside the scope of this Capability.
Always verify recognised line data, especially for invoices with unusual structures or missing order details. The output of nextAI may be incomplete or incorrect when the input is unclear or incomplete.
Invoice Line Capture is an optional extension that can be activated through additional configuration. More information is available in the article nextAI - Line recognition.
nextAI - Quote Capture
nextAI - Quote Capture is the Capability within Procurement (Procure to Pay) that allows a supplier quote to be uploaded as a PDF and processed automatically. NextAI extracts data from the quote — such as supplier, currency, line descriptions, quantities and prices — and presents it for review in an intermediate review screen. The lines are only added to the shopping cart after the data has been verified and confirmed.
This Capability is exclusively intended for processing supplier quotes in PDF format within Procurement. Processing invoices, contracts or other document types, and uploading multiple documents simultaneously, falls outside the scope of this Capability.
Always verify the extracted quote data for accuracy and completeness before processing it further or using it for decision-making. The review screen allows data to be corrected or lines to be removed before processing to the shopping cart. Quote Capture does not make purchasing decisions; the user always confirms before processing.

nextAI - Contract Capture
nextAI - Contract Capture analyses uploaded contract documents (PDF) and automatically fills in contract fields such as contract name, duration and notice periods. The extracted data is presented for review before the contract is saved. This Capability is available when creating and editing contracts within Contract Management, without requiring additional user permissions.
This Capability is exclusively intended for automatically populating contract fields based on an uploaded PDF document. Identifying legal risks, clause deviations or analysing terms and conditions falls outside the scope of this Capability; nextAI - Contract T&C Analysis is available for that purpose.
Always carefully verify the extracted contract data before saving the contract. For scanned (image-based) PDFs, recognition quality may vary. Fields such as category, supplier and contract manager fall outside the scope of automatic recognition and must always be filled in manually.

nextAI - Contract T&C Analysis
nextAI - Contract T&C Analysis automatically compares an uploaded contract document against the internally configured company and purchasing terms and conditions. For each condition, the analysis indicates whether the clause is present, matches the standard, deviates positively or deviates negatively. This Capability supports buyers and contract managers in independently assessing supplier terms, while the user retains the ability to correct or disregard the analysis at any time.
This Capability is exclusively intended for comparing contract content against internally configured terms within Contract Management. Drafting contracts, making legally binding decisions and analysing documents for which no terms have been configured fall outside the scope of this Capability.
The results of the Contract T&C Analysis are generated by nextAI and may contain errors, including incorrectly marking clauses as present or absent (AI hallucination). Always carefully review all findings before making decisions. The analysis does not replace the legal assessment by a qualified staff member. Missing or incomplete terms configuration will result in an incomplete analysis. Contracts in strongly deviating or unusual languages may result in lower analysis quality.
