Procurement
The check of a purchase order can only be done by a person with the appropriate rights. Like invoices, these depend on a designated route. These can be based on an advanced route where the approver is determined by the coding. However, the route can also be determined by an easy route on the purchase request itself.
Purchase orders that need to be approved by the logged in user are displayed in the block 'My activities' in →
. Via the block 'Open tasks' you can filter specifically on the requests that need to be approved. If more than 5 activities are available, they can be displayed via the button
.
Approving a purchase order can be done by clicking on a request and claiming it via the button .
Order information
Under the order information, it is possible to view the order information and add an attachment if wanted.
E-mail information
In case the automatic placing of an order is disabled under the vendor settings, the ‘E-mail information’ tab offers the possibility to manually e-mail the invoice to the vendor if necessary. Here, it is possible to overwrite the e-mail address from the vendor settings. In addition, it is possible to give the e-mail a subject and give the e-mail content.
Audit
Under Audit, the audit trail can be viewed. It is possible to see which route the invoice has taken, and it is possible to see the purchase request.
Indexation
For an active purchase order, it is possible to request price indexation using the menu and choosing ‘indexation’.
Items
Under items it is possible to view the items and price.
Cording
As an approver, the order can then be viewed in its entirety, advice requested and possibly rejected. The slider shows the encoding of the request.
Activities
*Please note, names and activity steps may vary between environments.
An order is approved by selecting the manual or automatic order placement activity and then clicking . Depending on the route, the order goes to the next approver or is placed in ‘To be received/invoiced’ status. If necessary, a receipt can be created once the items have been received. When manual order placement is selected, the order/order number is expected to be sent to the supplier manually.
