About this release
Invitations to users
It is now possible to send an e-mail invitation to users who are present in the user list in Admin. You can use this function to inform them about the login procedure.
Workflow extensions
The settings of workflows have been further expanded. You now have more freedom in when which users are linked to steps, and which users are available to be linked on the spot when starting the workflow.
General
New
-
The workflows are extensive. This extension is located in the settings of the workflows and can be used for all types of workflows within VendorLink. In the workflow step settings, two options have been added: 'Available to all users' and 'Add automatically'.
The option 'Available to all users' ensures that when linking workflow users on site, for example during an audit, all users are shown in the list of available users. If you disable this, only the users who are also linked to the step will be available in Admin > Global Settings > Workflows. The second new option, 'Add automatically' determines whether the workflow users you have linked to the step in Admin will be automatically linked to the step if you use the workflow somewhere (eg in the audit details). For example, you can determine whether users should be automatically linked to a step and whether, when freely choosing users on the spot, only a select group can be linked to users.
- The country table has been redesigned. The country table is now based on ISO-3166, and the countries are now shown everywhere in the correct language based on the user's language setting. The country table is used when you link a country to, for example, a supplier in the Vendors module.
Bugfixes
- Various text corrections and changes have been made.
- Various layout corrections have been made.
Dashboard
New
- A new Big Number is available: Spend in cost unit
- A new Big Number is available: Number of invoices in cost unit
- A new Big Number is available: Number of suppliers in cost unit
- A new graph is available: Number of expiring contracts per month per manager
Bugfixes
- [Query] Some queries no longer worked if a sorting was set. This has now been corrected.
Vendor Rating
New
- The Audit functionality has been renamed to: Information request. We already used this term in the Supplier Portal, but it has now been implemented everywhere.
- A new functionality has been added to the information request: Due date.
When creating an audit, you can specify a deadline date. If the audit is in the status Sent or Review at supplier and this date has passed, the audit is moved to the overview 'Expired'. This way you have an easy view of audits that have not been answered and you can take action on this. This deadline date can still be edited via 'Manage audit' after the audit has been sent. Expired audits can still be submitted by the supplier. - If an answer option for a question in a survey specifies a checklist item with a mandatory end date (Admin > Vendors settings > Tables > Checklist items), a mandatory end date field is automatically displayed on the survey form.
- The survey form now shows the vendor rating group rating period, associated project, and vendor category in bold.
Vendors
New
- It is now possible to add attachments to the Supplier Portal messages (Vendors > Supplier Portal > Supplier Portal messages. These attachments are shown in the Supplier Portal with the message and can be downloaded by the suppliers.
- In the Supplier Portal user settings (table at the bottom of the pop-up with contacts) a new option has been added: 'Insight into all E-Signing requests'. This allows you to give a user insight into all signed E-Signing requests within the user's organization.
Bugfixes
- For surveys in an information request (audit), we no longer send an email when the survey is completed. The signal user of the audit already receives a notification when the audit has been submitted.
- In the 'Info' tab in the supplier details, we show a small table containing the supplier's contracts. The 'Number' column always showed the values of the 'Contract number 1' field. The column is now called 'Contract number 1', unless in Admin > Contracts settings > Personalization > Contract field names, an alternative name has been set. In that case we show that name.
Contracts
New
- The graph in Contracts > Planning (graph icon) has been completely renewed. You now have a broad insight into the expiring contracts with all kinds of new filter options.
- [RFx} The spend amounts of suppliers in the 'Analyze results' tab are now shown in format based on the set language, just like in the Spend module.
- [RFx] In the list of available surveys, we no longer show a percentage (survey template complete percentage), but only the number of questions in the survey template. The percentage has no further target for the RFx.
- In the English language, the function 'Contract signing' (this is not E-Signing, but Contract approval in Dutch) has been changed to 'Contract approval' to avoid confusion with E-Signing.
- With contract approval, you can now select the desired documents when starting the workflow. Previously, this had to be done via a check mark next to the documents in the 'Attachments' tab in the contract details.
Bugfixes
- Temporarily it was not possible to choose an e-mail template when sending an E-Signing. This has now been fixed.
- In Contracts > Financial, the years were shown as an amount with two decimal places. This has now been corrected.
Tasks
Bugfixes
- An issue where some supplier names were not shown in the job details has been resolved.
- The dropdown 'Supplier' in the task details now shows the first 100 suppliers (a-z), for other suppliers you have to search by name.
- It was temporarily not possible to click through to the supplier in the Vendors module from a planboard. This functionality has been restored.
- Temporarily, 'Task Assigned' emails were not always sent to users assigned to a task. This has now been corrected.
Admin
Bugfixes
- In Admin > Spend settings > Data Aggregation and Admin > Spend settings > Exclude data, the background turned black when confirming a new link. This has been adjusted to a slight dim so that the background is still visible.
- The table in Contracts > Contract Products has been made available in the 'Personalization' tab in the user details. This allows you to determine column visibility and order for large groups of users at the same time through profiles.
