Contract Management
This page contains a number of essential features for Contract Management. All features are described in the tables below.

| Contract Sourcing active | Enabling Contract Sourcing activates the 'RFQ' (Request For Quotation) tab in Contract Management. With RFQ, it is possible to request documentation from suppliers. Contract Sourcing is only possible if the VendorLink environment includes Supplier Portal and Contract Management. |
| Contract Workflow active | This feature activates the 'Contract Approval' tab in Vendorlink under Contracts > Contracts > Select Contract > Details. |
| Create task for contract | This feature ensures that a task is automatically created when a contract notification is triggered. |
| Always create contract as draft | This feature ensures that a contract is always initially created as a draft. Draft contracts have their own tab in Contracts > Contracts, and are only visible to the creator of the contract until the contract is activated via the 'Activate contract' button in the contract details. |
| Contract template mandatory | This feature requires a user to select a contract template when creating a contract. |
| Contract template authorisation | When this feature is checked, contracts can be authorised based on Contract Templates. |
| Documents available in Supplier Portal | Allows contract documents to be shared with the supplier via the Supplier Portal. Only documents where 'Share in Supplier Portal' is checked will be shared. |
| Activate edit function for Contract Managers |
When the 'Activate edit function for Contract Managers' functionality is enabled, only users with the roles 'Contract Management Viewer' and 'Contract Management Register' can edit contracts where they are registered as contract manager.
To immediately make a user 'Contract Manager' for all contracts, you can assign the 'Contract Manager' role to users. This user will then have limited editing rights on all contracts. |
| Contract manager mandatory when adding contract | When this functionality is enabled, users are required to select a contract manager when creating a contract. |

When this functionality is enabled, the 'Deletion date' field on contracts will be populated at the time of archiving, based on the 'Retention period number' and 'Retention period unit' fields on the contract. If these are empty, the fields 'Default retention period number' and 'Default retention period unit' will be used. If those fields are also empty, the deletion date remains empty.
The fields 'Retention period number' and 'Retention period unit' may need to be manually made visible in the contract details via:

| E-Signature | If you want to use E-Signing, you can select the variant here. We currently offer VendorLink E-Signing and DocuSign, or a combination of both. DocuSign can only be used if it has been set up by us. |
| When this setting is enabled, E-Signing requests can be completed without entering a signature. |
Email templates
Here you can configure email templates. These email templates can be used when you want to send an email from Contracts. If you can use email templates when sending a message from Contracts, you will see a button labelled 'Email templates'.
Visibility of tabs in contract details
When you activate the visibility of a tab, this tab will be visible in every contract. If the visibility is unchecked, the tab will be hidden in every contract.
