AP Automation
Most fields in the ISP coding screen will be filled from recognition. By clicking on a completed field, the PDF shows where the content of the field in question comes from. Empty or incorrectly filled fields can be coded by manually entering the correct values. It is also possible to copy values from the PDF. This way of coding allows you to work faster and there is less chance of errors than when copying manually.
A number of things are described here that make it easier to find and copy the correct values on the PDF.
Click & Paste and Drag & Select
There are two ways in which a value can be transferred from the PDF to the coding field. 1: Click in the coding field. 2: Then click in the PDF on the field or value that belongs to the field in question. The piece of text or value that has been selected is copied in its entirety into the relevant coding field.
SmartScan works with textboxes, which are determined by the technical structure of the PDF. To show these textboxes, you can turn on view guide boxes. To do this, you open an invoice in edit mode and click the arrow icon on the upper right of the invoice. Select the 'Guide line(s)' function, this will show the guide boxes in different colors as an overlay on the invoice PDF. These textboxes can be particularly useful to see how certain values are copied from the invoice during coding or learning.
View text layer on PDF
Clicking on the arrow icon and select the 'Textlayer' to display the text layer of the PDF. This allows the structure of the PDF to be checked. If the text layer contains too little correct information, this might be a reason for poorer recognition. In that case, the option 'Always OCR' can be used via a vendor template.
