AP Automation
If amounts on invoices from the same vendor are often distributed in the same way, then Coding templates can be used. After selection, the template divides the total amount over different lines as predefined.
Note that the Robotic Process Automation icon can only be accessed when the user has rights to edit the invoice. In addition, in order to use coding templates, there must be a vendor chosen, conding templates available, and the right permissions assigned.
Creating a coding template
The first step in creating a coding template is correctly coding the invoice lines that may from now on be coded with a template. If you are satisfied with the coding of the invoice, click on Add coding template.
Provide the template with a description and choose the Distribution type amount.
If you choose Empty, the amounts are left empty, with Absolute the amounts per line are filled with the exact amount from the lines on which the template is based, and with Percentage the lines are created with the same percentage distribution.
NOTE: If an invoice has both debit and credit lines and Percentage is selected, the amounts will be left empty.
After saving, it is possible to use the coding template for all future invoices from this vendor.
Apply a coding template
You can apply a coding template by choosing one of the previously created coding templates for this vendor.
If there is only one coding template for a vendor, it is applied immediately. A message then shows that it has been applied.
Adjust or delete a coding template
By clicking on the icon in the overview of the coding templates, a template can be adjusted. Clicking the
icon will delete the coding template.
