New
New AI functionality within Contract Management*
We have recently integrated new AI functionalities within Contract Management.
This addition marks an important step forward in optimising our contract management process.
The first phase of this development has now been put into use.
In this phase, the focus is on automatically reading data from contract documents.
Thanks to this functionality, the relevant data is extracted directly from the contract and then automatically filled in the designated fields within ISPnext.
This applies not only to newly created contracts but can also be applied to existing contracts already included in the system. The AI functionality suggests data applicable to both standard and custom fields, ensuring all important information is processed efficiently.
By automating these steps, significantly less manual work is required when registering contracts. In addition, the risk of errors is reduced, as the automatic data entry ensures a consistent and accurate registration of contract data.
ℹ️
Document attachments added to Knowledge Portal tiles

New
Ability to customise default prompts for Contract Management AI*
It is now possible to override default prompts for contract fields in Contract Management AI.
In the settings of standard contract fields, an extra field is available where a custom prompt can be entered. When a custom prompt is entered, it replaces the ISPnext standard prompt.
Clearing the field restores the default prompt.
This adjustment offers organisations flexibility to tailor prompts to their own use of standard fields, without impacting existing workflows.

General
New
Filtering of invisible characters in DTS
Functionality has been added in DTS to filter invisible characters in fields. These characters, such as soft-hyphen, non-breaking space and zero-width characters, caused issues when processing files.
With this adjustment, such characters are removed.
Action menu for invoices visible for completed invoices
The action menu for invoices is now also available for completed invoices, provided related documents are present and procurement is enabled.
The menu only shows the action “Related documents”.
When procurement is not enabled, the action menu remains hidden for completed invoices. This change makes it easier to consult related documents, regardless of the invoice status.

| Inactive custom fields are no longer shown as columns in the overviews of Invoices, Purchase Requests, Purchase Orders and Goods Receipts. They are also no longer available in user settings. |
AP Automation
New
New field blocked_amount for OpenAPI invoices
An extra field has been added to the invoice header for OpenAPI customers: blocked_amount.
This field makes it possible to record an amount that is temporarily blocked for payment, for example in the case of a dispute or pending approval.
The field is hidden by default and can be configured via 'screen configurations'.
The functionality is in line with existing implementations for ExactOnline, AX2012 and D365F&O and ensures that the blocked amount is included in payment proposals and reports.
This improves control, compliance and efficiency.
BRE extended with Localisation fields
The Business Rule Engine (BRE) has been extended with support for the fields country, name and value from ISPinvoice XML. These fields are now available in the BRE configuration, allowing rules to be set up based on country, name or value.
This makes it possible to perform dynamic validations and calculations, such as checking invoices per country or applying logic based on specific values. This extension increases flexibility and compliance in invoice processing.
It is now possible to set a default VAT code, VAT group and supplying country at company level.
These fields have been added to the company settings and ensure that invoices are automatically provided with the correct VAT information, reducing manual corrections.
In addition, the “Environment settings” tab has been renamed to VAT settings and a sorting option has been added to order VAT codes when processing invoices. This adjustment improves the efficiency and accuracy of VAT processing.
Workflow options added for retrieving users from PO data*
The workflow editor has been extended with a function:
get_userids_by_erp_idThis function makes it possible to retrieve users based on a field value in a workflowable document (such as a PO, PR, GR or invoice) that matches an ERP ID.
This supports mapping of fields such as buyer, receiver, requester and custom fields to the correct user. This adjustment reduces manual input and increases the efficiency and accuracy of workflows.
ℹ️
Retrieving outstanding surcharge lines from Dynamics F&O now possible
The outstanding amount in the header information is now correctly updated based on data from Dynamics F&O. The outstanding amount is calculated by reducing the total of the header costs by the sum of registered amounts.
This adjustment ensures up-to-date and accurate information when processing purchase orders and invoices.

| The issue where the paydata import failed due to the error "An error occurred in the current transaction. You cannot execute queries until the end of the 'atomic' block." has been resolved. | |
| The issue with unreadable error messages during classification has been resolved. Error messages are now displayed clearly, so users better understand what is going wrong when processing emails and attachments. | |
| The issue where the workflow conversion script ignored conditions that did not start with custom_field_value_condition has been resolved. | |
| The issue where an incorrect PDF was shown for Routty invoices has been resolved. If no "Invoice keyword" is set in the E-Invoicing administration, the first PDF from the XML is now always used as the invoice PDF. | |
| An issue that occurred in exceptional situations has been resolved, where the wait-for-goods activity could overwrite invoice adjustments by other processes. Now, only changed order data is updated. | |
The report unexpectedly showed empty or missing dimension values due to the use of an incorrect index field has been resolved. Values are now also correctly exported for 'retired' dimensions. |
|
| DTC client now takes NTFS Zone Identifier files into account when checking whether the download folder is empty. ZIP files are deleted immediately after processing. | |
|
The issue where dates in the format DD-MM-YY were not recognised by ISP-SmartScan, even if the YMD format was set in templates, has been resolved. The correct format is now passed to the date parser and improved error handling prevents unexpected errors with invalid dates. |

New
New API endpoint for catalogue items
A new API endpoint has been added in ISPnext that allows catalogue items to be created, updated and deleted in bulk.
This makes it possible to import complete article information, including all relevant fields and an extra section for bundles (bill of materials). The JSON structure supports fields such as article number, price, EAN, contract information and sustainability score.
Bundles are added via codes. This extension reduces manual input and Excel import, increases accuracy and speeds up the process for procurement teams.
The API validates mandatory fields and data types and provides clear success or error messages per item.
New option to include supplier reference in purchase requests
It is now possible to add a supplier reference to a purchase request via an extra optional text field 'Supplier reference'. This value is stored with the request and shown on the generated PDF under the label 'Your reference'.
The field can, via screen configurations, be made available in the purchase request form.
If a value is entered in the field, it will be shown on the purchase order and the corresponding PDF.
This adjustment improves communication and internal processes for suppliers with their own reference numbers.

| The creation of a free request via 'source to contract' for a supplier with a payment term now works correctly. The payment term is observed by the system, so the form loads without errors. | |
| An issue has been resolved where the quotation commitment process could get stuck if no supplier was recognised during import. The recognition process now continues even if supplier information is missing. | |
|
An issue has been resolved where deleting a purchase request line caused a 500 error due to incorrect permission checking. The permission is now correctly checked on the purchase request instead of on the line. |
|
|
The issue where, when deleting a receipt line, the associated image temporarily appeared with another line has now been resolved. Images now remain correctly linked to the appropriate receipt line. |
